Black & Gold Wednesdays:

The RAM Way

Client: Virginia Commonwealth University

Event: Black & Gold Wednesdays Kickoff – The RAM Way

Location: Richmond, Virginia

Event Type: University Campus Experience

KWME Role: Event Planning, Experience Design & Execution

Project Budget: $15,000

THE CHALLENGE

Virginia Commonwealth University sought to launch its Black & Gold Wednesdays initiative with an engaging campus experience that would build excitement, strengthen school spirit, and encourage students to connect with the VCU community.

The goal was to transform the kickoff into more than a traditional university program. The experience needed to feel energetic, welcoming and distinctly VCU while working within a defined budget and operational framework.

KW Meetings & Events was selected to help turn that vision into an executable event experience.

OUR APPROACH

KW Meetings & Events developed a music-festival-inspired event concept designed around energy, interaction and campus pride.

Our approach combined creative event design with practical event operations. We translated the concept into a coordinated plan covering the attendee experience, event layout, décor, vendor requirements, event-day logistics and implementation.

A key component of the project was balancing visual impact with budget discipline. With approximately $2,000 allocated to décor, our team strategically identified elements that would provide the greatest impact while supporting the overall Black & Gold Wednesdays brand experience.

SCOPE OF WORK

KW Meetings & Events provided support across several areas of the project, including:

  • Event concept development and experience design

  • Music-festival-inspired theme development

  • Event layout and flow planning

  • Décor strategy and sourcing

  • Detailed décor shopping and procurement recommendations

  • Vendor and logistical coordination

  • Event setup planning

  • Onsite event management and execution

  • Attendee experience considerations

  • Timeline and operational coordination

  • Event-day troubleshooting and problem solving

THE EXPERIENCE

The final concept transformed the kickoff into a lively campus activation centered on VCU pride, student engagement and community.

Rather than approaching the event as a series of individual activities, KW Meetings & Events designed the experience around how students would move through, interact with and remember the event.

The festival-style approach created opportunities for students to gather, participate and experience the energy of Black & Gold Wednesdays in an environment intentionally designed to feel celebratory and connected to the university.

BUDGET-CONSCIOUS EVENT DESIGN

Delivering an engaging experience did not require unlimited resources.

KW Meetings & Events developed and executed the project within the approved $15,000 overall event budget, including an approximately $2,000 décor allocation.

Our planning process prioritized spending based on attendee impact, operational necessity and visibility. This allowed the creative vision and operational requirements to work together rather than compete for resources.

THE KWME DIFFERENCE

The VCU project demonstrates an important part of the KW Meetings & Events approach:

We don't simply plan what an event will look like. We plan how it will work.

From the initial concept through onsite execution, our team considered the full attendee journey while managing the operational details required to bring the experience to life.

The result was a coordinated event strategy designed to support VCU's objectives while creating an engaging campus experience for students.
